1. Booking and Payments

1.1 A non-refundable deposit is required at the time of booking to secure your place. The deposit amount will be shown at checkout.

1.2 Your place is confirmed once your deposit payment has been successfully processed through our website.

1.3 The remaining balance is due no later than eight weeks before the retreat start date. You will receive an automated reminder when your balance is due. If you wish to pay the full amount earlier, just email us and we will enable your balance payment on the system.

1.4 If you book within eight weeks of the retreat start date, the full balance is payable at the time of booking.

1.5 All payments must be made through our website’s payment system. We are not able to accept alternative payment methods.

2. Cancellations by the Guest

2.1 The deposit is non-refundable under all circumstances.

2.2 If you cancel more than eight weeks before the retreat start date, any balance paid (excluding the deposit) will be refunded.

2.3 If you cancel within eight weeks of the retreat start date, no refund will be given.

2.4 You may transfer your place to another person at no extra charge, provided you notify us and the replacement guest supplies all required information.

2.5 We strongly recommend travel insurance to cover unexpected events such as illness, bereavement, or travel disruption.

3. Cancellations or Changes by Us

3.1 If Walnut Barn Retreats needs to cancel the retreat, you will receive a full refund of all amounts paid, including the deposit.

3.2 Occasionally we may need to make small adjustments to the schedule, workshops, meals, accommodation or activities. We will always aim to keep these minimal and to maintain the planned experience as closely as possible.

3.3 If the tutor or artist becomes unable to attend due to illness or unforeseen circumstances, we will speak with them and with the group to agree the best way forward. Options may include adjusting the programme, bringing in a suitable replacement approved by the original tutor, or postponing the retreat. If the retreat must be cancelled, refunds will follow clause 3.1.

4. Travel and Insurance

4.1 Travel to France is not included in the retreat price. Some retreats include a group airport transfer; if so, this will be clearly stated in the retreat information.

4.2 We cannot refund guests for travel delays, cancellations, missed connections, or other transport issues.

4.3 Comprehensive travel insurance is strongly recommended.

5. Health, Safety, and Conduct

5.1 Guests take part in workshops, excursions, transfers and outdoor activities at their own risk.

5.2 Any medical conditions, allergies or mobility considerations should be shared with us at the time of booking.

5.3 We reserve the right to remove any guest whose behaviour places others at risk or significantly disrupts the retreat. No refund will be given in such circumstances.

6. Accommodation

6.1 Accommodation arrangements vary by retreat. Full details will be available before you book.

7. Dietary Requirements

7.1 We can usually cater for common dietary needs with advance notice.

7.2 We cannot guarantee a nut-free or allergen-free environment.

8. Liability

8.1 Walnut Barn Retreats cannot accept liability for personal injury, loss or damage unless caused by our negligence.

8.2 Guests are responsible for their belongings at all times.

8.3 We are not responsible for events outside our reasonable control, including transport disruption, severe weather, strikes, public health restrictions, pandemics, or other force majeure circumstances.

9. Photography and Content

9.1 Photos may be taken during the retreat for use in Walnut Barn Retreats’ marketing and social media.

9.2 If you would prefer not to appear in any photos, just let us know before the retreat begins and we will ensure your preference is respected.

10. Governing Law

10.1 These Terms and Conditions are governed by French law. Any disputes will be handled within French jurisdiction.
